Term 3 Block Bookings for 2026
Block Bookings for Term 3 of the 2025/26 academic year are now open, covering the period from 13/04/25 to 26/07/26Block bookings are for groups that require a space on a regular basis.

How to Submit a Request:
1. Complete the Typeform: Submit your request here.
2. Sign and Date the KCLSU Room Usage Agreement and attach to the typeform. 
3. Complete the Excel Form. Please download the form and attach to the typeform once filled.
4. Please ensure that you have an approved core risk assessment for your society and an active SKEDDA account for this year. Without an approved core risk assessment, we cannot create a block booking for you. For groups in need of further information on risk assessments, please email studentgroups@kclsu.org
Please note that submissions via email to bookings@kclsu.org will not be accepted. The deadline is 22nd February 2026 at 12pm. Late submissions will result in a group only being able to make ad-hoc bookings. Please note that submission of a form does not guarantee that we can provide you with a block booking of your choice – we will communicate any unavailability to student groups before the start of term.

Timeline:
15/03/26 - Typeform Closes.
22/03/26 - Provisional Bookings sent out to groups

28/03/26 - Confirmation of allocation sent out via email
29/03/26 - Bookings go live on Skedda

Monitoring attendance for block bookings:
Throughout Term 3, we will monitor attendance numbers for block bookings to assess whether the rooms requested are appropriate for the activities being held. This information will be used to support the fair and efficient allocation of rooms.

KCLSU Room Booking System: SKEDDA
 

We have now transitioned to the Skedda booking system to enhance the booking experience, streamline processes, and provide more efficient support for student groups. This new system will offer improved functionality and user-friendliness, aligning with our commitment to continuous improvement.

 

How to submit a request for a student group SKEDDA login:

Complete the Typeform: Submit your request here.
Sign and Date the KCLSU Room Usage Agreement: Found on the Google Drive link. (Please send this to the booking’s mailbox on bookings@kclsu.org.)
 

Risk Assessments & Additional Resources:

You must have completed your society or club risk assessment and have had it approved before we can consider any requests for bookings. For groups in need of further information on risk assessments, please email studentgroups@kclsu.org
