You will be paid £15.26 per hour plus 12.07% holiday pay which equates to £17.10 for every hour worked.

Job Duration

Initially a fixed-term role contracted until 31 July 2025, with a possibility of an extension.

Details

We are looking to appoint an enthusiastic and highly organised student staff in a supporting role in the HR team, with a key focus on providing assistance to the HR Team and HR stakeholders as well as the wider KCLSU community.

You will also have the opportunity to contribute ideas and be involved with HR projects and initiatives.

As a HR Administrator your key responsibilities will include:

  • Recruitment: Providing assistance throughout hiring processes, including saving and anonymising job applications, advertising vacancies, conducting in-person right to work checks and onboarding new joiners.
  • Letter and Contract Administration: Preparing contracts for new starters and existing student staff, and draft a variety of letters and emails as needed.
  • Data entry: Supporting the HR team in carrying out data entries on the HRIS platform (Access), keeping our people data up-to-date.
  • General Administration and Compliance: Supporting the administration and compliance processes related to New Starters, Leavers, and Employee Changes, ensuring all documentation and processes are completed accurately and timely.
  • HR Project Assistance: Assisting in ad hoc HR Projects supporting the Head of People and Development, HR Manager and HR Coordinator.
  • Invoice processing: Supporting with processing invoices, ensuring accuracy, and timely submission for payment, while maintaining proper documentation and adhering to internal financial procedures.
  • Payroll Support: Providing assistance with payroll related tasks if and when required.

Candidate Specification

Essential:

  • Experience and Skills: Strong administrative experience is essential, including data entry and proficiency in Microsoft Word, SharePoint and Excel.
  • Availability: Must be able to commit to a minimum of 2 days (14 hours) per week.
  • Flexibility: A degree of flexibility is required for the role. Ideally, you should be available to work on different days at times, with the ability to take on additional hours or days when necessary, provided with reasonable notice.
  • Sound communication skills: The ability to communicate effectively and professionally, both verbally and in writing, with a variety of stakeholders, including HR team members, employees, and external parties.
  • On-Site Presence: Expected to work from the Bush House office when requested, as this is essential for team collaboration and day-to-day operational support.
  • Confidentiality: This role requires a high level of tact and discretion, with the ability to handle sensitive information confidentially and professionally at all times.
  • Commitment to the Role: A strong commitment to continuously developing HR skills and knowledge, staying current with HR processes and practices.

  • Be a current undergraduate or postgraduate student of King's College London.
  • Be eligible to work in the UK, and provide proof of this (i.e. a passport/visa) when asked by KCLSU.
  • Have a National Insurance number, or be in the process of applying for one.
  • Not be a trustee of King’s College London Students’ Union. Trustees should not apply for a role whilst in their term of office, or should their application be accepted or progressed to the interview stage.
  • Ex-Trustees can apply for student staff (non-administrative) roles, as soon as they finish their tenure.
  • Ex-Trustees can apply for career staff / permanent staff roles, only after a year has passed of them being a trustee. Applications submitted within the year should not be accepted or progressed to the interview stage.
