The Representation Assistant will work within the Community Engagement department and the Student Voice team to assist the Representation and Influence Coordinator on key projects. This includes the delivery of the KCLSU Officer Accountability Panel, the research of a representation and influence strategy, and supporting the KCLSU officers to attend King’s committees by assisting with briefings, paper writing and administrative support. They will also assist on a range of administrative tasks, including monitoring the team’s inboxes and responding to enquiries, and ensuring information is up-to-date on the KCLSU website.
The postholder will:
- Monitor the relevant department inboxes and respond to enquiries in a polite, timely and professional manner or forwarding to relevant staff member
- Provide support for projects running across the community engagement department as needed
- Provide calendar, email and general administration support for the Student Voice team
- Assist on the delivery of our Accountability Panel (that holds the KCLSU Officer team to account) and the recruitment and communications with student panel members
- Assist on the research and delivery of an Influence Strategy that helps various student representatives navigate institutional governance and stakeholder engagement.
- Assist with ad-hoc research and analysis of Higher Education issues and policy
- Assist representatives to prepare for committees by summarising the papers submitted to King’s college committees by professional and academic staff
- Assist on administrative tasks relating to committees such as inputting, collating and maintaining accurate records of dates and monitoring inboxes for invitations
- Assist on supporting officers to share their representation wins with the student body in a meaningful way
- Provide administrative and any other relevant support to assist with the delivery of with projects undertaken by members of the community representation team including but not limited to minute taking, data monitoring, support with event organising, updating website pages and other relevant administrative tasks.
A successful candidate will:
Knowledge
- Ability to use the internet and Microsoft Office; particularly Excel, Word and Outlook
- Good standard of English (both written and verbal)
- Basic understanding of representation at KCLSU (desirable)
Experience
- Experience of working with people via email, telephone and face to face
- Experience of administrative work (desirable)
- Experience working as part of a busy team
Skills
- Organised and methodical with good administration skills
- Ability to manage working time effectively, and prioritise appropriately
- Confidence to ask for help when necessary
- Good verbal and written communication skills
- Independent and self-reliant, being able to work without close supervision
- Ability to adapt to changing priorities and workload
- Reports and analysis skills, acquired either through studies or professional career

Eligibility
To be eligible to apply for this role you must:
- Be a current undergraduate or postgraduate student of King's College London.
- Be eligible to work in the UK, and provide proof of this (i.e. a passport/visa) when asked by KCLSU.
- Have a National Insurance number, or be in the process of applying for one.
- Not be a trustee of King’s College London Students’ Union. Trustees should not apply for a role whilst in their term of office, or should their application be accepted or progressed to the interview stage.
- Ex-Trustees can apply for student staff (non-administrative) roles, as soon as they finish their tenure.
- Ex-Trustees can apply for career staff / permanent staff roles, only after a year has passed of them being a trustee. Applications submitted within the year should not be accepted or progressed to the interview stage.
