What is a Soldo card?          

The Soldo card is a virtual prepaid card to help with regular online or in-person purchases which cannot be paid via a third-party payment process. It functions just like a regular card and is linked to the group's account. All purchases made on the card are recorded in the student groups' account, allowing community leaders to track and oversee all expenses.

The card transactions can be monitored and spending via the Soldo web console and mobile app.

Who is it for?         

The Soldo card is intended for student groups and societies that have significant regular spending. It helps them effectively manage large expenses and online payments, which cannot be made using third-party payment processes. Only the Treasurer of a student group can be allocated a Soldo card.

Does my group need a Soldo card?

The Soldo card is a prepaid card designed for student groups and societies that need to make large in-person purchases or online payments. If your group does not have these types of expenses, then the Soldo card may not be suitable.

While making regular large payments is a consideration, it does not automatically qualify a student group for a Soldo card. The card is specifically intended for groups that frequently need to make online payments requiring card details or large in-person payments that cannot be paid in advance to a supplier via the third-party Invoice payment process.

What if my group's application is not successful?

If your group's application is not successful, there are other ways of making payments given below.

Third-party Invoice payment: This is when the supplier has provided an invoice copy for payment along with their Bank details. Please submit the request via the Helpdesk: https://help.students.kclsu.org/hc/en-gb/requests/new

Student Expenses app:

The Expense app is for reimbursements. It is used when a committee member has paid for a student group’s expense using their personal money. To claim a reimbursement for this, submit the expense claim via the student expenses app. This will be reviewed by the President/Treasurer and the Finance team. Following approval, the refund is sent directly to the bank account details submitted in the app.

What is required to apply for a Soldo card?   

The student group must be a ratified group for the current academic year. The Treasurer must sign the CLT agreement and complete CLT Finance training. Following this, the Treasurer must complete the Soldo card application form.

The KCLSU Finance and Student Groups team will review the eligibility of the student group after the application is submitted, and a decision will be made accordingly.
