Reporting Incidents and Accidents and Safeguarding concerns
Here at KCLSU, our Student Groups play an integral role in enhancing the educational and developmental opportunities available to students during their time at Kings. Student Groups host thousands of events and activities each year, and it is our job to equip and empower each one of them with the knowledge and skills necessary to make these happen.
As part of our Health and Safety obligations, all accidents and incidents (inlcuding safeguarding concerns) must be reported to KCLSU. Naturally, when engaging in such a wide variety of activities incidents and accidents are bound to occur, and when they do, it is your job to report them!
But what’s the difference between an accident and an incident— and when is a safeguarding report required?
- An accident is a specific event that results in injury, ill health, or death. For example, sustaining a broken leg during a game of rugby.
- An incident, on the other hand, is an unplanned event that does not result in injury but may cause property damage or present a significant risk that should be recorded. Examples include phone theft, damage to equipment, or a near miss, such as a loose roof tile falling but not causing harm.
- A near miss is a situation where a hazard is identified and addressed before it causes an accident or injury.
- A safeguarding report is required if you are worried about a member of the public (someone who is not a student) while taking part in a Student‑Led Volunteering Project. If the project is delivered through an external partner—such as a school—you must also report the concern to that organisation, in line with their safeguarding procedures. In an emergency, or where there is an immediate risk to life, KCLSU volunteers must always call 999 straight away.
Whenever an incident or accident occurs, we need you to report it via the form. Not only is this crucial for upholding our legal obligations, but it’s also vital for ensuring we can reach out to the affected party whilst simultaneously taking action to reduce the likelihood of it happening again. Fundamentally, your reports help keep us all safe!

During Sporting Activities:

An athlete notices an uneven hurdle during their warming up. Whilst the athlete has not been injured, if left unresolved, the uneven height of the hurdle could result in an incident or accident at a future race.
During Non-Sporting Activities:

An actor trips and falls during rehearsals, spraining their wrist in the process.

A laptop is stolen from a bag left unattended at a society meet-up.
In our Commercial Venues (I.e., the Vault, Guys’ bar etc.):

A student looses their footing and falls due to a spilled drink. They require medical assitance, having sprained their ankle.

A fight breaks out between two groups of students at Wednesday sports night.
