How to Submit a Risk Assessment

All student group activity at KCLSU must be risk-assessed. This includes everything from low-risk activities like games nights to high-risk events such as sports fixtures or charity balls.

Please do not email in risk assessments. All plans and assessments must be submitted through the Activities Dashboard.

Training Requirement: Before submitting any Activity Plan and Risk Assessment, you must complete the KEATS training module:
"How to Submit Your Activity Plan and Risk Assessment" found on KEATS -> Community Leaders Training 2025-26. This module includes detailed, step-by-step instructions and is compulsory for Presidents, Wellbeing Leads, and any other committee member responsible for submitting risk assessments.

Types of Activity

1. Core & Repeated Activity Plan

  • Deadline: 31st July 2025 (after this date, please submit a Core & Repeated Risk Assessment before undergoing any student group activity)
  • Covers all regular or repeated activity (e.g. weekly meetings, training, regular socials)
  • Must be submitted by the President at the start of the year
  • You cannot run any activity until the Core and Repeated Activity Plan has been submitted and approved

2. Additional Activity Plan

  • For all activities not covered by your Core plan
  • Can be submitted by any committee member
  • Must be submitted at least 10 working days before the intended activity date. Risk assessments submitted after this time will likely not be approved and you may be required to postpone your activity.

Accessing the Dashboard

  1. Go to www.kclsu.org and log in
  2. Click My Account (top right corner)
  3. Select Organisations, then choose your group
  4. Click on Activities under Admin Tools
