Booking A Visiting Speaker
A Visiting Speaker request is your opportunity to tell us about your event. Please take your time to ensure the request is as detailed as possible, and the information provided is correct.

To avoid delays, or the need to re-submit, double-check you haven’t accidently made any of these common mistakes:

What's Required and Why?

Submitting a Request with fewer than 12 working days notice.
|
All requests must be submitted at least 12 working days before your event. This ensures both KCLSU and King’s have enough time to process your request. Don’t forget to account for non-working days such as Bank Holidays and university closure dates.

| Naming an ineligible Event Chair in your request. |
All requests must identify an eligible Event Chair (a Kings student who has completed the KEATS training prior to submission). The training ensures the Event Chair feels equipped to moderate the event, upholding a safe and inclusive environment for all by cultivating a balanced and respectful discussion.

| A non-committee member submits the request on behalf of the Student Group. |
Visiting Speaker requests must only be submitted by Committee-level organisers of KCLSU ratified Student Groups. As elected representatives and the only members of their Student Group required to complete the Community Leaders Training, committee members must ensure they take accountability for their Student Groups' events. |
| Submitting multiple speakers on one form. |
You must submit a separate request form per speaker. This ensures you can provide the required detail, including links to personal profiles for every individual speaker. |
| Advertising your event prior to KCLSU approval. |
You must wait for KCLSU approval before promoting your event. While you can submit a provisional room booking via King’s Venues, final confirmation only comes after your speaker request is approved This protects you from financial or reputational risks if changes are needed.
