Fundraising Guidance

  1. Any club or society wishing to host a fundraiser must fill out the fundraising form at least 15 working days in advance of their event.

  2. Only committee members of ratified societies or clubs can book fundraisers. If you are an individual who would like to run a fundraising event, please contact RAG who can book one on your behalf.

  3. As part of your application you will need to upload a risk assessment and if you are fundraising for an external charity, a charity authorisation letter. You can only fundraise for a UK based charity that is registered with the charity commission. If you are organising a bake sale, ticketed event, donation drive or tube station/street collection, please make sure you have read the additional guidance before filling out a form.

  4. On the day of your fundraiser you must collect at least one KCLSU charity bucket from the hubs desk specified on your form. You will need to provide a piece of photo ID as a deposit, which will be given back to you when your bucket is returned. Buckets must be returned to the hubs desk for the money to be banked on the same day – under no circumstances are buckets allowed to be taken home overnight.

    Buckets must be returned before these times:

    - Guy’s: 6pm
    - Bush House: 6pm/4pm on Sundays
    - Waterloo: 4pm

    The hubs staff member will instruct you on how to count and bank your money (please allow 20 minutes for this). If you won’t be able to return your bucket by the deadline please contact the Volunteering and Fundraising Coordinator in advance to arrange an alternative.

    PLEASE NOTE: CARD READERS ARE NOT PERMITTED AT ANY KCLSU FUNDRAISING EVENT. ANY STUDENT FOUND TO BE USING A CARD READER WILL BE ASKED TO END THEIR EVENT IMMEDIATELY.

  5. You will be notified within 5 working days whether permission for your event has been granted. If the space you have requested for your fundraiser is unavailable you will be contacted to arrange an alternative. If for any reason you need to cancel your event, please email the Volunteering and Fundraising Coordinator as soon as possible. Failure to follow these guidelines may result in disciplinary action.
