  • Finance: How can I get a copy of my Club/Society's accounts?

    Click on 'Clubs' or 'Societies' on the left, then 'Committee Members' from the black sub menu. Click on 'Treasurers', then follow the instructions below to view your accounts online.

  • Finance: On my accounts, why do my membership fees show as an strange number, and less than our membership price?

    As part of an agreement with HM Revenue & Customs, VAT is payable on your membership fees. KCLSU deduct 17.5% off your membership fee automatically for this purpose. This means that on a £5 Society membership for example, (£5/1.175=)£4.26 will be creditted to your Subs account for each member you have.
    The other side of this agreement means that your Club or Society is VAT excempt from all other activity, i.e. buying products (like kit), profits from events, sponsorship etc. Your Club/Society saves a LOT more money with this arrangement!
    Clubs - £3 is also reduced from your membership fee to pay for insurance for sporting activity. See the FAQs on Insurance in this section for more details.

  • Finance: Where's my money? (Individual)

    If you believe you are owed some money back for expenses incurred by involvement in a Club/Society (e.g. train fare to a fixture, photocopying, posters, equipment purchases etc.), then the first port of call is your club/society Treasurer.

    Only Treasurers can withdraw funds from their Club/Society accounts. To make payment to an individual (you!), they need to sign off a Payment Requisition Form and hand it in to KCLSU with your receipts attached.

    Assuming your Treasurer has done this, payment should be with you (or available from your designated KCLSU Student Centre) TWO WEEKS after the day the treasurer submits your Payment Requisition Form.

  • General: How do I join Societies and Clubs?

    At any of the three Student Centres at the Strand, Waterloo or Guy's - you will need your KCL student ID card. The prices for joining societies and clubs ranges from £5 to £50, so make sure you know which ones you want to join by looking at the full listing of all the Clubs and Societies.

  • General: What are Clubs and Societies?

    Quite simply, they are groups of similar-minded students partaking in a pastime: from football to fencing, dancing to debating, and hip hop to hindu! Clubs and Societies are officially recognised, legal subsidaries of KCLSU (the Students' Union), and as such are allowed to use "King's College London" in their title.

    The difference between Clubs and Societies is that clubs are focussed on sports and have a national governing body (e.g. the Football Association, the Rugby Football Union, etc.). Societies on the other hand encompass everything else so their activity potential is limitless!

    A full list of all KCLSU's Clubs and Societies is available online. You may notice that some of the clubs have a 'KCL' prefix, whilst others have 'GKT' - this can all be explained...

  • General: What is the Student Activities Department?

    In order to support the activities of over 100 Clubs and Societies, there is a team of full- and part-time staff alongside elected student officers. The staff have a detailed knowledge of Student Activities generally, and ensures that all the Clubs and Societies operate effectively year after year.

    The elected student officers provide the political direction for the Department by representing the needs and wants of the student populous.

  • General: When, where and how can I get help with my Club/Society?

    You can always email sa@kclsu.org and someone from the Student Activities Department will get back to you within 3 working days. This is usually the best way to get in touch with a 'general' enquiry.

    From 12pm-2pm, Monday to Friday during term time at the Student Centres at the Strand (Macadam Building) and Guy's (Boland House)), a member of Student Activities staff will be available to handle your questions and general KCLSU enquiries. Simply drop in when it's convenient for you: no appointments are necessary during these hours!

    First check you are covered for your particular injury. Please remember that KCLSU's policy is a "worst case" policy - it is geared towards covering total permanent disablement, ongoing hospitalisation, absence from College studies, etc. It does NOT cover accidents such as minor breaks, cuts or bruises. KCLSU has produced a summary of the insurance policy so you can quickly see what is included.

  • Membership: How can I get the full contact details for my Club/Society members?

    As long as you are on the committee for your Club/Society (e.g. President, Treasurer, Secretary, Captain, etc.) you can ask for a copy of your membership list.

    There are 2 ways to get a copy of your membership list:
    1) Drop in to any of the Student Centres during opening hours (generally 9-6pm) with your student ID card, and ask a member of staff behind the counter, or
    2) Email sa@kclsu.org - the list can be emailed back to you as either a Word or Excel file, please state which you would prefer (the latter is good for creating group emails...). You can use the online email form if you prefer on both the President Support or the Treasurer Support pages.

  • Membership: How do non-KCL students/members of the public join my Club/Society?

    They need to become Associate Members of KCLSU first. This costs £15 a year, or £150 for life. Unless they are a KCL graduate or member of KCL staff, the President of your Club/Society will need to recommend them for Associate Membership. Associate Membership forms are available online and from the Student Centres. Once they have an Associate Membership card, they can then pay to join your Club/Society.

    Note: this applies to students from other colleges/universities - they must join as associate members first.

  • Publicity: How can I email all KCL students about my Club/Society?

    KCLSU does not have the ability to do this for you. The only way that we can do this for you is to include your information in the President's email that is sent out approximately twice a month, although there is no guarantee that it will be included.   • Publicity: What do I need to do to put up a poster?

    KCLSU needs to give an authorisation stamp to all Club and Society publicity - this is part of an agreement with the College. ONLY KCLSU ratified Clubs and Societies publicity can be stamped - see the full list. Any posters without a KCLSU stamp will be removed immediately from KCLSU premises.

    To get your posters stamped, go to one of the KCLSU Student Centres (Strand, Waterloo and Guy's) and ask a member of staff behind the counter.

    TIME SAVING TIP - If you are making black and white photocopied posters, why not get the original stamped: that way, all your copies will have the stamp on them already...

  • Sports: What sports competitions does KCLSU enter teams into?

    Most of the 'traditional' sports clubs compete in BUSA (British Universities Sports Association) and UL (University Of London). Other competitions supported include UH (United Hospitals - GKT teams) and NAMS (National Association of Medical Schools - GKT teams).

    Other sports such as the martial arts, rowing and breakdance have specialist, national competitions. KCLSU Clubs tend to perform very well at these, and travel the length and breadth of the country!

  • Sports: What's the difference between KCL and GKT clubs?

    Players for GKT teams can only be from the medically-orientated schools - Medicine, Nursing & Midwifery, and Dentistry. Players for KCL teams can be from any school. This dual-system is a result of the merger in 1997 between KCL and the GKT medical schools - as both had large and active sports clubs, the decision was taken to maintain both sets of players.

    Many KCL and GKT clubs have now merged, such as Basketball, Squash and Tennis.

  • Storage: Where can I store my Club/Society property at KCLSU?

    KCLSU can offer your club or society storage space in the Macadam Building (Strand) and Boland House (Guy's).

    Long term storage: store room in B4 (Macadam Building), and store room opposite KCL security desk (Boland House). Sign out the keys from the Student Centre (1st floor Macadam Building and ground floor Boland House): you will need to complete the log book and leave your ID card as deposit. You must return the key to the Student Centre as soon as you are finished so that other people can access the storage area.

    Short term storage: cupboards opposite MR4 on the 1st floor (Boland House). This space is suitable for items that you need daily/weekly access to. You can get the keys from the KCL Security Desk on the ground floor.
